When rights follow the office
For FWG Naila e.V. we built a public website and, behind it, a portal in which the chair, the secretary, the treasurer and the council group each see exactly their part.
Where it started
An association runs on volunteers, and the offices change hands. Knowledge then lives in folders, mailboxes and on private computers - and leaves with the next election. What was needed was not a tool for one administrator but one that survives the handover.
What was built
- Public site: news, dates, chronicle - maintained from the same system.
- Members: records, joining and leaving, statistics.
- Dues: open items per year, bookings, cash book, reports, CSV export for the audit.
- Meetings: invitations, replies, minutes - and minutes linked to one another.
- Documents, templates, tasks with deadlines, surveys.
- A daily backup whose age is monitored - a backup that stops running reports itself.
Limits
The portal is not double-entry bookkeeping and no substitute for a tax adviser. It keeps a cash book the way an association keeps one, and exports it in an auditable form.

- On a server in Germany, on behalf of the association, with a data processing agreement. Backups are held in Germany as well.
